Our team works remotely across Canada, and we use a project management tool to keep track of tasks and communicate. While it was introduced to help us work more efficiently, it hasn&#8217;t been fully adopted. This has led to inefficiency and made collaboration harder than it needs to be. This tool could be beneficial to stakeholders: consultants would have a better way to manage tasks; leaders would have a clearer view of how projects are going; clients would experience smoother project delivery.<\/p>\n\n\n\n<p>A few reasons the team hasn\u2019t fully adopted the project management tool:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Lack of clear communication: we might have not clearly explained how it would make things easier.<\/li>\n\n\n\n<li>Limited training: some consultants might not feel confident using the tool.<\/li>\n\n\n\n<li>Old habits: people are used to working with emails and shared documents.<\/li>\n\n\n\n<li>Too complicated: the tool has a lot of features, which can be overwhelming.<\/li>\n\n\n\n<li>Consultants work for other companies: a new tool to use could feel like extra work.<\/li>\n\n\n\n<li>Small task involvement: some consultants work on smaller tasks and might not see the need to use it.<\/li>\n\n\n\n<li>No accountability: without clear rules or follow-up, consultant are not motivated to use it.<\/li>\n<\/ul>\n\n\n\n<p>How to fix it?<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Help consultants understand how it makes their work easier.<\/li>\n\n\n\n<li>Offer short, practical sessions and quick guides.<\/li>\n\n\n\n<li>Introduce the tool in stages, focusing on the most important features first.<\/li>\n\n\n\n<li>Set clear expectations: make sure everyone knows they need to use the tool for updates and tasks.<\/li>\n<\/ul>\n\n\n\n<p>Personally, I would mix traditional project management methods with design thinking. Watt (2014) explains that successful project management relies on clear communication, stakeholder engagement, and structured processes. Combining this with design thinking that emphasizes understanding the needs of stakeholders and iterating solutions based on feedback, as described by Conway et al. (2017), could improve tool adoption by emphasizing user needs and iterative improvements.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Clear communication: always explain why we\u2019re introducing new tools or processes. <\/li>\n\n\n\n<li>Get input from the team: involve consultants early on to understand what they need.<\/li>\n\n\n\n<li>Start small: introduce new tools in stages, focusing on the most useful parts.<\/li>\n\n\n\n<li>Offer flexible training: provide resources that consultants can use at their own pace.<\/li>\n\n\n\n<li>Keep checking in: get regular feedback and make adjustments as needed.<\/li>\n\n\n\n<li>Make it part of the process: set expectations that everyone must use the tool for project updates.<\/li>\n<\/ol>\n\n\n\n<p>By combining a structured approach with flexibility and feedback, I hope to make the adoption of the project management tool easier and improve how we work together.<\/p>\n\n\n\n<p>Conway, R., Masters, J., &amp; Thorold, J.
